Who We Are
We collect only what we need to run this website and deliver your projects, and we never use your materials to train AI models.
This policy explains how Zyntro Media Services, a division of Zyntro, Inc., [a Delaware C-corporation] doing business as Zyntro Media Services ("ZMS", "we", "us"), handles personal information. It covers our website at [zyntromedia.com], our contact and brief forms, and the production services we provide to clients.
ZMS is a separate division from Zyntro, the business automation platform. Zyntro's own privacy policy governs the Zyntro platform.
By using our website or services, you agree to this policy. If you don't agree, please don't use them.
Information We Collect
Contact details: name, email, phone, company and role. You give us these when you fill in our contact or brief form, or email us.
Project briefs: goals, audience, budget range, timelines and references. You give us these when you submit a brief or tell us on a call.
Client materials: logos, product photos, listing photos, floor plans, scripts, brand guidelines and footage. You send these to us for a project.
Likeness and voice: photos, video or voice recordings of people you ask us to feature. You provide these, with consent, for a project.
Payment details: billing name, address and invoice records. These come through invoices and our payment processor. We don't store card numbers.
Usage data: pages viewed, device and browser type, approximate location and referring site. This is collected automatically through analytics and cookies.
We don't knowingly collect sensitive information such as health data or government ID numbers. Please don't send it to us unless a project genuinely requires it and we've agreed how it will be handled.
How We Use It
We use your information to:
- Reply to enquiries and schedule calls
- Scope, quote and invoice projects
- Produce, revise and deliver the media you commission
- Feature selected finished work in our portfolio, as set out in our Terms of Service
- Understand how people use our website so we can improve it
- Meet legal, tax and accounting obligations, and protect our rights
We don't sell your personal information, and we don't use it for third-party advertising. We don't send marketing newsletters.
AI Processing
Much of our work is produced with generative AI tools. To make your project, we upload your materials and briefs to third-party AI model providers that generate images, video, voice and edits on our behalf.
ZMS never uses your materials to train AI models. Each provider handles data under its own terms, and we choose providers and settings that keep that data use limited to delivering the service where those options exist. If you need us to avoid a particular provider, tell us before the project starts.
Who We Share It With
We share personal information only with the service providers we need to run the business:
- AI and production tools that generate and edit media for your project
- Hosting and website providers that run our site and forms
- Analytics providers that measure site traffic
- Payment processors and accounting tools that handle invoices and payments
- Email, scheduling and file-sharing tools we use to talk to you and deliver files
- Professional advisers such as lawyers and accountants, under confidentiality
We may also disclose information if the law requires it, to protect our rights or safety, or as part of a merger, sale or restructuring of the business. Our team and contractors only access what they need for your project.
International Transfers
ZMS is based in the United States, and some of our team and providers operate in other countries, including Malaysia. Your information may be processed outside the country where you live. Where the law requires it, we use appropriate safeguards such as standard contractual clauses.
Cookies and Analytics
We use a small number of cookies and similar technologies to keep the site working and to measure traffic.
- Essential cookies keep pages, forms and media playback working. They can't be switched off.
- Analytics cookies tell us which pages people visit and how they found us. We use [analytics provider, e.g. Google Analytics] for this.
We don't use advertising or cross-site tracking cookies. You can block or delete cookies in your browser settings, and you can opt out of analytics through our cookie banner or your browser. Some parts of the site may not work properly without essential cookies.
Retention, Security and Your Rights
How Long We Keep It
- Enquiries that don't become projects: up to 12 months after our last contact
- Client materials and working files: up to 12 months after final delivery, then deleted unless you ask us to keep them
- Final deliverables used in our portfolio: for as long as they're displayed
- Invoices and financial records: as long as tax and accounting law requires (usually up to 7 years)
- Analytics data: up to 26 months
You can ask us to delete your materials sooner, unless we need to keep them for legal reasons.
How We Protect It
We use access controls, encrypted connections and reputable providers to protect your information. No system is perfectly secure, so we can't guarantee absolute security. If a breach affects you, we'll tell you as the law requires.
Your Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct information that's wrong
- Delete your information
- Get a copy in a portable format
- Object to or restrict certain uses, including analytics
- Withdraw consent you've given, such as for use of your likeness
These rights may come from US state privacy laws (such as California's), the EU and UK GDPR, or other local laws. We'll honour reasonable requests wherever you're based. Email us at mediateam@zyntro.ai and we'll reply within 30 days. We may need to verify your identity first, and we won't treat you differently for exercising your rights. If you're in the EU or UK, you can also complain to your local data protection authority.
Children
Our website and services are for businesses and adults. We don't knowingly collect personal information from anyone under 16. If you think a child has sent us information, contact us and we'll delete it. Any minor featured in a client's project must be provided with a parent or guardian's written consent.
Changes and Contact
We may update this policy as our services or the law change. We'll post the new version here with a new date, and for significant changes we'll notify active clients by email.
